Nonmedical Protocol Applications and Submission to the IRB


Protocols must be submitted to the IRB via the eProtocol system. A protocol application consists of:
  • Personnel information and general checklists
  • Responses to the protocol questions
  • Appropriate consent form(s) and assent form(s), as applicable
  • Other related documents, as applicable.

Before starting the application process:

  1. Identify the review type for your protocol application.

  2. Requesting information about Stanford students from the Registrar's Office: If you plan to request email addresses, biographic/demographic data, or academic data on Stanford students from the Registrar's Office as part of your research, contact Paddy McGowan for information regarding the process to obtain these data before you submit your protocol application to the IRB.

  3. Prepare the information you will need for the eProtocol application:

US mail or interdepartmental mail will not ensure timely receipt of materials.

 

What happens after protocol submission?

For protocols undergoing regular review: Once the application has been submitted via eProtocol, it is reviewed by the IRB Staff and then forwarded to one or more IRB members for pre-meeting review. IRB members' comments are collected by the IRB Manager and forwarded to the Protocol Director (PD) who will generally have about 3 days to respond to IRB comments. The protocol is then forwarded to all IRB members for pre-meeting review. All regular review protocols must be presented and voted on at a convened IRB meeting before they are approved. Approval notices are available to the PD after the meeting. The entire process generally takes four to six weeks from the date of submission.

Protocols undergoing expedited review: These applications follow a similar route to those undergoing regular review, with the exception that they are not presented for review and approval at a convened IRB meeting, and thus are not tied to the IRB meeting schedule.
